Privacy Policy
How Admittee collects, uses, shares, and protects information across the platform.

1. Introduction
Admittee, LLC ("Admittee," "we," "us," or "our") values your privacy. This Privacy Policy explains how we collect, use, share, and protect information when individuals ("Buyers," "Attendees," or "Users") and organizations ("Organizers") use the Admittee platform to manage facilities, events, scheduling, ticketing, registrations, rentals, and related services.
By using Admittee, you agree to the practices described in this Privacy Policy.
2. Information We Collect
We collect information necessary to operate the platform, process transactions, and provide reporting to Organizers.
2.1 Information You Provide
- Personal Information: Name, email address, phone number, and other details provided during checkout, registration, or account creation
- Form Data: Information submitted through registration forms, waivers, or Organizer-created forms
- Profile Information: Admittee may automatically create a profile linked to your email address to help you access tickets, receipts, and purchase history
- Registrant Profiles: When you register another person — often a child — we save a profile for them under your account, holding details such as their name, date of birth, and grade
- Saved Contacts: When a form asks who is coming with the person you are registering, you may save that person — often a grandparent or a family friend — as a contact under your account, holding details such as their name, their relationship to you, and their email address, phone number, and mailing address
2.2 Transaction Information
- Purchases of tickets, registrations, concessions, donations, or rentals
- Refunds and adjustments
2.3 Payment Information
All payments are processed securely by third-party payment processors such as Stripe. Admittee does not store full credit card or bank account details.
2.4 Usage and Device Information
- IP address
- Browser type and device information
- Interactions with the Platform
2.5 Communication Preferences
When you agree, or decline, to receive email from an Organizer, we record that decision. The record includes your email address, the Organizer it applies to, the date, the exact wording you were shown, and the IP address and browser used. We keep this so that consent can be demonstrated if it is ever questioned, and so that we can tell the difference between someone who declined and someone who was never asked.
2.6 Agreement Acceptance
When an Organizer requires you to accept an agreement — a waiver, a code of conduct, a photo release — we record that acceptance. The record includes the exact wording you were shown, the date and time, and the IP address and browser used.
We store the wording itself rather than a reference to it, so that a later edit by the Organizer cannot change what your acceptance says you agreed to.
2.7 Information About People Who Are Not Admittee Users
A saved contact describes someone other than you. That person does not have an Admittee account, is not asked to agree to anything, and in most cases will never visit the Platform.
You are responsible for having a proper basis to give us their details, and for telling them you have done so. Only provide details you are entitled to share.
We hold a contact under your account and use it only to complete the registrations you name them on. We do not email a saved contact, add them to any Organizer's mailing list, or use their details for anything you did not initiate.
3. How We Use Your Information
We use collected information to:
- Process transactions securely
- Enable facility scheduling, event access, and rentals
- Deliver tickets, confirmations, reminders, and operational communications
- Provide customer support
- Create and maintain user profiles linked to email addresses for easier access to past purchases
- Pre-fill a later registration with details you gave the same Organizer previously, so you are not re-entering the same information each time
- Show you what you previously told the same Organizer about the same registrant and the same contact — for example whether a named adult may collect a child — with the date you told them, so that you confirm it rather than recall it
- Provide Organizers with reporting and operational insights
- Allow an Organizer to contact you about their events where you have opted in
- Improve platform functionality, reliability, and security
- Detect fraud, prevent abuse, and comply with legal obligations
4. Organizer Access & Data Ownership
Admittee operates as a service provider to Organizers.
- Purchase history, attendance data, registration details, and facility usage data are visible only to the Organizer associated with the relevant facilities or events
- Admittee does not sell or independently monetize individual Buyer or Attendee data
- Organizers control how they use data collected through their events and facilities
- A registrant profile belongs to you and is visible to an Organizer only once you have used it to register with them
- Each registration keeps its own record of what you submitted at the time; editing a profile later does not change what a past registration recorded
- A saved contact is visible to an Organizer only where you have named them on that Organizer's own form, and is never visible to any other Organizer
Marketing is separate from operations. An Organizer's access to your information to run their events does not entitle them to email you about future ones. That requires your opt-in, recorded as described in Section 2.5.
Organizers are responsible for complying with applicable privacy laws, including FERPA and COPPA where applicable, and with laws governing commercial email such as CAN-SPAM.
5. Sponsorship & Branding Data
Admittee allows Organizers to manage sponsor logos, names, and URLs for placement on event-related materials (e.g., posters, landing pages, confirmations).
Admittee does not process sponsorship payments or invoices and does not collect sponsor financial information.
Organizers are responsible for ensuring authorization to use sponsor branding.
6. How We Share Information
We do not sell personal data. Information may be shared with:
- Payment Processors: Stripe processes payments securely
- Event Organizers: Limited data necessary to operate events, facilities, and reporting
- Service Providers: Trusted vendors (e.g., hosting, analytics, email delivery) that support platform operations
- Legal Authorities: When required by law or to protect against fraud or misuse
6.1 Contact Lists Exported by Organizers
Where you have opted in, an Organizer may download a list containing your email address and related details, and load it into their own email service.
Once that has happened, the copy is held by the Organizer and their provider, and this Privacy Policy no longer governs it. Organizers are contractually required to use it only for their own communications, to honor unsubscribes in their own systems, and never to sell or transfer it — but Admittee cannot technically enforce those obligations inside software we do not operate. See Section 7 for what this means when you withdraw.
7. Your Rights & Choices
Depending on your location, you may have the right to:
- Access or update your personal information
- Opt out of non-essential communications
- Request deletion of your profile by contacting support@admittee.com
To stop Organizer emails, use the unsubscribe link at the bottom of any organizer email, or open your Admittee account and manage the "Organizations" section. You may withdraw from one Organizer without affecting any other.
Withdrawal takes effect immediately in Admittee. If the Organizer has already exported a contact list, your withdrawal is reflected the next time they export, so a message already prepared may still reach you once. If an Organizer keeps emailing you after you withdraw, contact support@admittee.com.
Withdrawing consent does not stop transactional messages — tickets, receipts, and notices about purchases you have made.
If you are named as someone else's contact, you may have no Admittee account at all, and none of the steps above are available to you. You can still ask what is held about you, ask for it to be corrected, or ask for it to be removed, by contacting support@admittee.com. Removing a contact does not erase what an Organizer already recorded for a past event, which they may be required to keep.
Deleting your Admittee profile may remove access to purchase history and digital tickets, subject to Organizer retention requirements.
8. Data Retention
We retain information only as long as necessary to:
- Provide services
- Meet legal, accounting, or reporting obligations
- Resolve disputes and enforce agreements
Retention periods may vary based on Organizer requirements or applicable laws.
Withdrawn consent is retained on purpose. When you unsubscribe, we do not delete the record — we mark it withdrawn and keep it. Deleting it would leave nothing to prevent a later import from adding you back, and would erase the evidence that you asked to be removed. If you want this record deleted as well, contact support@admittee.com.
9. Data Security
We implement reasonable administrative, technical, and physical safeguards, including:
- Secure payment processing through Stripe
- Encryption of sensitive data
- Access controls and monitoring
No system is 100% secure, but we continuously work to protect your information.
10. Children's Information
Admittee is not directed to children, and children do not create Admittee accounts. We do not knowingly collect personal information from a child, or ask a child to opt in to Organizer email.
We do, however, hold information about children, provided by their parent or guardian. Many Organizers are schools and youth programs. When you register a child, we save a registrant profile for them under your account — name, date of birth, grade — and it persists between registrations so you are not re-entering it each time. Registration forms may also collect details an Organizer needs to run their program safely, such as allergies, medications, a physician, or an emergency contact.
That information is held under your account. You can view, edit, and delete a registrant profile at any time from your Admittee account, and you can request deletion of the associated records by contacting support@admittee.com.
Permission decisions about a child. A registration form may ask you whether a named adult is permitted to collect a child. We record the answer, the date, and the two people it is about, and we keep it so that the same Organizer can show it back to you on a later form. It is shown for you to confirm or change — it is never applied to a new registration on your behalf, and it never travels to a different Organizer.
Organizers are responsible for obtaining any consent required by law before collecting information about a minor through Admittee, including under FERPA and COPPA, and for limiting what they ask for to what their program actually needs.
If you believe a child has provided us information directly, or you want a child's information removed, contact support@admittee.com.
11. Third-Party Services
Admittee uses trusted third-party services such as:
- Stripe (payments)
- Analytics providers
- Email and messaging services
These providers operate under their own privacy policies.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The current version and its effective date are shown at the top of this page, and prior versions remain available. Material changes will be communicated through the Platform or by email where required.
